What You’ll Do:
Reporting to the SVP Enterprise and Technology Enablement, you’ll be responsible for providing administrative support which includes providing administrative assistance, information and time management support, maintaining effective communications and ensuring appropriate follow-ups are completed. This role will also provide support to the Enterprise Solutions Office (ESO) and Technology Enablement (TE) Leadership Teams.
The core parts of your role will be to:
Provide administrative support to the SVP Enterprise and Technology Enablement.
Maintain calendar appointment schedules, collect information and presentation documents, research and book travel arrangements, coordinate and schedule meetings, record and summarize meeting notes and action items.
Raise and prioritize issues, opportunities and topics that require the SVP’s attention in a proactive manner.
Provide administrative support to the VPs and Directors within ESO and TE on an as needed basis.
Design and develop presentations, report and speech for internal and external audiences such as industry associations and partner meetings.
Perform administrative duties. This includes researching activities and events, routing correspondence, drafting letters and documents, initiating communications, and providing technical assistance at meetings and during conference calls.
Prepare for meetings. This includes distributing agendas, preparing meeting materials, reserving meeting rooms, coordinating room layout, and taking and distributing meeting minutes.
Reconcile, code and submit monthly corporate credit card statement for SVP Enterprise and Technology Enablement and the ESO and TE Teams as needed.
Coordinate special events (i.e. strategic partner meeting); prepare and distribute the agenda and meeting materials; prepare and maintain the guest list, schedule reservations and travel.
Proofread department communications while adhering to established communication standards.
Maintain attendance tracking requirements for the SVP Enterprise and Technology Enablement and their direct reports.
Perform other duties within competence, as assigned.

This is the unique blend of skills and experience we would love to see in an ideal candidate:
A minimum of two years’ post-secondary education / training in office administration.
A minimum of three to five years’ experience in administration at the senior level or as an Executive Assistant.
Experience supporting technical teams / leadership.
Exceptional communication skills and the demonstrated ability to deal effectively with all levels of internal and external stakeholders.
Superior time management, project management and organizational skills to manage competing priorities.
Proficient with Microsoft Office Suite applications, specifically Excel, Word, Powerpoint.
Proven experience with or adaptability to AI-enhanced tools (ie. Microsoft Copilot) to optimize workflows, enhance collaboration, and drive innovation in day-to-day tasks.
The ability to communicate in French in considered an asset.
